We are looking for an Administrative Assistant who will grow at our Vancouver, WA corporate offices.

As an Administrative  Assistant you will provide support to Executive and Senior Management and their support teams.  This position will specifically support the leaders of Hawthorne Sales and Operations.

In this role you will:

  • Perform general day to day administrative office duties, including but not limited to:  scheduling of meetings, manage and maintain Sr Management and others calendars, phone coverage, screening phone calls, preparing documents, filing, travel and expense reports with minimal supervision.

  • Collaborate cross-functionally with the company administrative team, other departments, vendors, and outside parties. 

  • Coordinate travel arrangements for staff and incoming visitors, as needed, creating detailed travel agendas.

  • Coordinate and arrange catering, onsite and offsite meetings

  • Assist with managing and tracking projects, as needed.

  • On board new hires (order electronic equipment, business cards, send welcome package)

  • Order electronic equipment & business cards for current sales team when needed and keep records

  • Handle confidential and sensitive information with discretion.

The perfect person will have:

  • Minimum 3 years experience in an administrative position supporting senior level management. 

  • Fluent working knowledge of Google (gmail, calendar, drive); Concur; SAP; Time Management.

  • Proficiency in Microsoft Office (Excel, Word, Powerpoint).

  • Ability to handle confidential information and be extremely detail-oriented.

  • Ability to work in a fast paced environment and successfully multitask.

  • Strong customer service orientation and problem solving skills.

  • Ability to work independently, set and manage changing priorities and solve problems utilizing sound judgement.

  • Strong written and verbal communication skills required.

Some other nice to have’s:

  • Experience supporting multiple leaders in a remote location preferred

  • Bilingual in Spanish/English
